Commitments to funders tracked in Excel and email
The environmental and social action plan for a large restoration project was tracked in an ad hoc Excel file and circulated by email. Four international project funders each needed to see progress on the actions relevant to their portfolio, but not the team's internal notes, and none of them had accounts in the company's Microsoft environment.
Capture once in Monday.com, show each audience what it needs
We made Monday.com the single place actions are captured, brought the board into the existing Fabric platform, and built two dashboards to a layout the COO approved: an internal one for the project team and a filtered, read-only one for funders, served through an embedded portal.
One place to capture actions
The project team updates actions in Monday.com, and the data flows into Fabric on a schedule, so there is no tracker to email around.
Two audiences, one model
The internal dashboard shows everything; the funder dashboard shows only each funder's actions and leaves internal notes out.
No licences for funders
Dashboards are served through an embedded portal, so funders need neither a Power BI licence nor a Microsoft account.
Board-ready exports
Funders can export a PDF for their own submissions and board packs.
Tested through tight firewalls
Access was tested live with a funder that runs strict external firewall controls before sign-off.
Built to an approved design
The concept and two reference dashboards approved by the COO were the fixed design basis, so the build matched expectations first time.
Where the data lives and how it flows
The single place actions are captured and updated, replacing an Excel tracker and email threads
What changed
Funders now see live progress on the actions that matter to them, whenever they want it, instead of waiting for a spreadsheet by email.
The project team updates actions in one place, and both dashboards stay current from the same data, so internal and funder views always agree.
